Transcript Evaluation Process

Official transcripts of previous academic work in college are required from all students. These transcripts become part of the student's permanent file and will not be released or forwarded to other institutions.  No previous academic work may be disregarded. Students should request that their former school(s) send an official transcript of their records to Butte College. Anything other than an official transcript cannot be accepted by Admissions & Records.

Students should be aware that schools may charge a fee for forwarding the transcripts.

Have you completed coursework at another college? Your credits might help you meet course eligibility, degree or certificate requirements here at Butte College! Sending your official transcripts is easy—just follow the steps on our website. Once received, your transcripts become a part of your permanent record, and we’ll keep them secure (we won’t forward them to other schools). Important: All previous academic work is reviewed, and we can only accept official transcripts.  Sending your official transcript is easy.

A transcript evaluation allows us to review your credits from other regionally accredited schools and apply them toward your academic progress at Butte College. Here’s what you need to know:  

  • Only students who are enrolled can have their official transcripts evaluated.  
  • The evaluation may impact your GPA and financial aid eligibility. (For details, check the Financial Aid website about SAP/PACE requirements.)  
  • It can also help clear course prerequisites and count towards degree requirements!  

Once we’ve completed your evaluation, you’ll get an email notification. You can also view the results on your unofficial transcript and in Student Planning by logging into Self Service. We recommend meeting with a Counselor to go over the evaluation and make sure you're on track!  

Transcript Evaluation Process

California Community Colleges, CSU, and UC transcripts: Butte College will evaluate these for course equivalencies to see what transfers directly.  

Out-of-state and private college transcripts: Butte College will evaluate these for transferable units, but you’ll need to meet with a Counselor to determine how they fit into your degree, certificate, or General Education requirements.  

Applying Previous Coursework to Your Major

Work with your academic department to submit a Course Substitution/Waiver Form to see how your credits can fit into your program.

If you plan to earn a Certificate or Associate Degree from Butte College and you have attended another college, please submit an official transcript to Admissions & Records. Official transcripts may be sent electronically, by mail or in person based on the following guidelines.

Electronic transcripts will only be considered official if the following criteria have been met.

  1. Electronic transcripts must be sent directly from eTranscripts California XAP, Credentials eScrip-Safe, Parchment, and National Student Clearinghouse at this time.
  2. Electronic transcripts must be sent from one of the providers listed above directly to evaluations@butte.edu.
  3. Electronic transcripts will not be accepted when forwarded from the student, or from other Butte College staff members and/or departments.

Official Butte College Transcripts are free for current K-12 students. To receive/send your free Official Transcript, complete and sign this fillable K-12 Transcript Request form. Save it to your device and email it as an attachment to Butte College at admissions@butte.edu from your BUTTE COLLEGE STUDENT EMAIL account. Please note: K-12 Official Transcript in the email subject line.

Yes, students can receive official transcripts regardless of outstanding fees.  Transcript processing fees still apply.

(AB 131 Update 1/1/2020)

AB1313: Higher education prohibited debt collection practices went into effect January 1, 2020. The Bill prohibits any public or private postsecondary school from refusing to provide a transcript for a current or former student on the grounds the student owes a debt.

Log into Self Service, click the Academics icon (graduation cap) on the far left.  Select the "Unofficial Transcripts" option on the drop-down list. Then click on "Unofficial Transcript." A PDF of your Unofficial Transcript will appear on your device and can then be saved, shared, attached to an email, and/or printed for your use.

Prerequisites & Corequisites: Requirements and Documentation

There are many courses offered through Butte College that have enforced prerequisites prior to registration.

These are used to establish a student's readiness for the content covered within a course. To meet a prerequisite, a passing grade of "C" or better is required. Documentation must be processed prior to registration.

Prerequisites: Are courses that are successfully completed prior to registration (e.g., ACCT 2 is a prerequisite to ACCT 4). The catalog and the counseling office can provide more information on this type of prerequisite. You can confirm the prerequisites requirement through the Search for Classes course descriptions.

Corequisites: Some courses require a 'corequisite'. A corequisite is a course that mandates concurrent enrollment in an additional specified course(s). All corequisites linked to each other must be taken during the same term.

Students will not be permitted to enroll in coursework that has an enforced prerequisite unless documentation is provided. An approved clearance does not guarantee a space in any course.

If you have any questions or concerns, please reach out via the Butte College Support Center (530.895.2361) or email us at assessment@butte.edu.  Unofficial transcripts and grade reports are acceptable for establishing enforced prerequisites.

Students may challenge a prerequisite or corequisite for a course.  The student will bear the initial burden of showing that grounds exist for the challenge.  Submit Petition to Challenge Prerequisite or Corequisite form to the Admissions and Records office, or email it from your Butte Student email to assessment@butte.edu or call 530-895-2361 for support and assistance.

The following is a list of the grounds under which a challenge may be pursued:

  • The student has the knowledge or ability to succeed in the course despite not meeting the prerequisite (documentation required).

  • The student will be subject to undue delay in attaining the goal of his or her educational plan because the prerequisite or corequisite course has not been made reasonably available (Ed Plan must be on file).

  • The prerequisite or corequisite is not appropriate because it is not necessary for success in the course for which it is required (documentation required).

  • The prerequisite or corequisite is unlawfully discriminatory or is being applied in an unlawfully discriminatory manner (documentation required).

Advanced Placement Exams

Butte College awards credit for successful completion of Advanced Placement (AP), College Level Examination Program (CLEP), and International Baccalaureate (IB) exams.

Students must submit official score reports to Admissions and Records. Credit awarded may be substituted for coursework applicable to a degree or certificate, and also may be used to transfer to four-year colleges and universities (may be subject to limitations imposed by those institutions).

AP exams are taken each May at participating high schools.

By taking an AP course in high school and earning a qualifying score on the related AP exam, you may skip introductory courses, receive advanced placement, receive college credit, and save on college expenses. Visit the College Board to learn more about AP exams.

College Level Exam Program (CLEP)

CLEP is a group of standardized tests that assess college-level knowledge in several subject areas. 

Many colleges grant credit to students who meet their minimum qualifying score. The tests are useful for students who have obtained knowledge outside the classroom, such as through independent study, job experience, or cultural interaction. CLEP also offers international and home-schooled students the opportunity to demonstrate their proficiency in subject areas and bypass undergraduate coursework.

International Evaluation

If you’ve completed coursework outside of the U.S., your transcripts need to be evaluated before submitting them to Admissions & Records. Here’s how it works:  

  • Have your transcripts evaluated by an approved credential evaluation service (see list below).  
  • The evaluation must include a U.S. course-to-course breakdown, showing whether each class is upper or lower division.  
  • We only accept transcripts from approved services and can’t accept faxed transcripts.  

Butte College accepts evaluations from services accredited by the National Association of Credential Evaluation Services (NACES). Here are some options:
